The course A1002/02 Reality check - can I really do that much? Time and Project Management after the midterm evaluation is being offered by the Graduate School of Health, Aarhus University, spring 2023.

Criteria for participation: Health Ph.d. student, recently completed halfway review  

Aim: To reflect on the students’ own project using time and project management tools designed to support timely completion during the second half of the PhD education process.  This is done by focusing on how to integrate project management tools into work habits to help PhD students stay on track or get back on track in the second half of the PhD process.  The tools applied to the students’ own project include Risk Management and Personal Kanban charts for PhD students to use in working with their own project. 

Learning outcomes: At the end of the course, the participants will be able to reconsider their own PhD completion plan, reflecting on risks in the second half of the PhD.  Using their own project as the focus, they will learn how to use risk matrices and write a risk remediation plan designed to support them if and when risks occur.  In addition, they will learn how to build and adapt personal Kanban visuals to support them in connecting daily work to the big picture of their remaining PhD work. 

Workload: The full workload of the course is expected to be 15 hours. 8 hours presence + 7 hours written assignments

Content: With a point of departure in their own project, students will learn to adapt and create personalized Kanban boards that reflect their own workflow needs.  To support PhD students in dealing with dynamic needs in their own projects, activities include using risk matrices, a risk register, and writing a risk remediation plan for the students’ own PhD project in the first half of the course.  Then, the focus will shift to connecting their own PhD project overview with their daily work habits.  In the second half of the course, students will build Kanban boards for their own project.  Key parts of this process focus on using their own PhD project for mapping workflows, establishing value streams, finding the students’ own work-in-progress limit, developing progress metrics, and planning for learning and improving effectiveness as the project progresses.  

Pre-Assignment: 2 days before course start. To be posted in the Brightspace Padlet.

Part 1: Brief introduction including a) brief CV, a brief summary of midway exam feedback points related to progress, and a brief reflection on motivation.  Total of 1-2 pages.

Part 2: A visualization of the remaining work in your project.  This could be an IPTO if you are using that, or an årshjul, or other visual tool that works for you. If you would like guidance with this, you are welcome to email Constance at cka@cc.au.dk for an appointment to work with this.

Part 1: Focusing on your own project, submit a Risk Register and Risk Matrices together with Risk Remediation Plan

Part 2: Focusing on your own project, submit a photo or electronic version of a Personal Kanban Board for your own PhD project

Part 3: a 1-2 page reflection on how risk analysis and personal Kanban boards can support you in controlling your project progress during the second half of the PhD.
